Willowbank Raceway is Queensland’s premier drag racing venue, hosting national championship events, street meets, test & tune days, major festivals, and large-scale public events including motorsport, caravan and camping expos, and community events.
We are seeking a highly organised and motivated Events & Administration Assistant to support our busy operations team in delivering outstanding events and maintaining smooth day-to-day administration.
Key Responsibilities
Event Coordination Support
- Assist with planning and preparation of race meetings, corporate functions and third-party events
- Prepare event documentation including run sheets, permits, site maps and competitor information
- Coordinate supplier, contractor and vendor communications
- Support sponsor activations and branding requirements
- Assist with event staffing rosters and accreditation
- Provide on-site support during events (including weekends and public holidays)
- Assist with bump-in and bump-out logistics
Administration Support
- General office administration and reception duties
- Respond to phone and email enquiries
- Data entry and database management
- Preparation of invoices and purchase orders
- Maintain filing systems and compliance documentation
- Assist with meeting preparation and minute taking
- Support senior management with reports and correspondence
Skills & Experience
- Previous experience in events, administration, hospitality or sports management
- Excellent organisational and time management skills
- Strong written and verbal communication skills
- High attention to detail
- Ability to work under pressure and meet deadlines
- Proficiency in Microsoft Office Suite
- Ability to work flexible hours, including weekends and major event days
