Marketing Coordinator – Events & Motorsport

Hi-Tec Oils is an Australian-owned manufacturer and distributor of lubricants and automotive products, with a strong presence across motorsport, racing, and national events. We are seeking a proactive and organised Marketing Coordinator to support the planning and execution of our events, sponsorship activities, branded merchandise, and marketing operations.

About the Role

This is a hands-on coordination role suited to someone who thrives in a fast-paced environment and enjoys managing multiple projects at once. You will play a key role in coordinating racing events, sponsorship activations, merchandise procurement, logistics, and marketing administration while working closely with internal teams, suppliers, and event partners.

Key Responsibilities

  • Coordinate the planning and execution of racing events, trade shows, sponsorships, and promotional activities
  • Liaise with event organisers, suppliers, venues, freight providers, and internal stakeholders
  • Manage branded merchandise ordering, procurement, stock levels, and inventory records
  • Coordinate freight and logistics for event equipment, promotional materials, and merchandise
  • Assist with marketing schedules, event calendars, timelines, and campaign coordination
  • Support sponsorship activations and ensure branding materials are delivered on time
  • Process invoices, purchase orders, and post-event reconciliations
  • Maintain marketing databases, documentation, and reporting
  • Support the Company Owner with executive administration, including coordinating travel and accommodation, catering and basic admin support.

About You

  • Previous experience in a marketing coordination, events, or administrative role
  • Strong organisational and time management skills with the ability to juggle competing priorities
  • High attention to detail, particularly around logistics, stock control, and event coordination
  • Confident communicator with strong stakeholder and supplier management skills
  • Proactive and solutions-focused with the ability to work independently
  • Strong Microsoft Office skills; experience with inventory or project management systems is highly regarded
  • Interest in motorsport, events, or the automotive industry highly regarded
