Behind every race, rally and motorsport event is a national network of clubs, organisers, officials and volunteers, supported by the systems, information, reporting and sporting operations that help events happen safely and successfully.

That’s where you come in.

MotorSport New Zealand is looking for a switched-on, highly organised Safety and Club Service Coordinator to join our Wellington-based team.

This is not your standard administration role.

You’ll sit at the centre of our Safety and Sporting function, helping coordinate post-event reporting, supporting our clubs and event organisers, maintaining critical safety and sporting information, and helping turn what happens at events around the country into meaningful insights and improvements.

You’ll be someone people can rely on - organised, responsive, proactive and comfortable keeping multiple moving parts under control.

And you don’t need to arrive as a motorsport expert.

What matters most is that you’re sharp, organised, confident working with people and information, and genuinely enjoy making things run well.

The role

Reporting to our Safety & Sporting Manager, you’ll play an important role in keeping the Safety and Sporting function moving.

A major part of the job happens after the chequered flag.

You’ll make sure event reports are received, information is captured accurately, outstanding actions are followed up and lessons from events don’t simply disappear into a filing system.

You’ll help us turn event and safety information into something useful by identifying trends, preparing dashboards and summaries, maintaining accurate records and supporting continuous improvement across New Zealand motorsport.

You’ll also be a key point of contact for our clubs and event organisers, proactively working with people across the motorsport community to make sure they have the information, support and clarity they need.

What will you be doing?

No two weeks will look the same, but your work will include:

  • coordinating post-event reports and following up outstanding information;
  • reviewing event, incident and safety information to identify trends, lessons and emerging risks;
  • preparing H&S summaries, dashboards and reporting for the Safety & Sporting Manager and leadership team;
  • maintaining accurate sporting, incident, hazard, near-miss and medical records;
  • preparing sporting documents, forms, templates and communications;
  • coordinating information and updates to clubs, organisers, officials and volunteers;
  • proactively contacting clubs and event organisers to make sure service expectations are clear, timelines are understood and documentation is complete;
  • providing practical day-to-day support to people across the motorsport community; and
  • spotting opportunities to improve our processes, reporting, systems and sporting operations.

There’s plenty of variety, but this is also a role where the details matter.

Following up. Keeping records accurate. Making sure information lands where it needs to. Closing the loop.

You’ll be the kind of person who notices when something hasn’t happened and gets it sorted.

Who are we looking for?

You might already work in sport or events.

You might come from operations, coordination, membership services, administration, health and safety or a regulatory environment.

Or you might be an exceptional administrator who is ready to step into something broader, more interesting and more visible.

We’re less concerned about your current job title and more interested in how you operate.

You’ll thrive in this role if you:

  • are exceptionally organised and can keep multiple priorities moving at once;
  • have strong attention to detail and take pride in getting things right;
  • are confident working with data, spreadsheets and information;
  • can turn detail into clear reporting, summaries and insights;
  • communicate confidently and professionally with a wide range of people;
  • enjoy building strong relationships and providing great service;
  • take ownership, follow things through and don’t need to be chased;
  • are comfortable working within established processes while still asking, “Could we do this better?”;
  • are proactive rather than waiting for problems to come to you; and
  • enjoy being part of a small team where everyone rolls up their sleeves and contributes.

Experience in motorsport, sport, events, clubs, membership organisations or similar environments would be an advantage but it isn’t essential.
