We are looking for an organised and practical Logistics Coordinator to manage the day-to-day booking, documentation and follow-up of outbound customer shipments. With most of our products exported, accurate and timely freight coordination is a critical part of our customer service.
You will work closely with sales operations and the warehouse to ensure orders are ready for dispatch, shipping information is complete, and shipments progress through DHL and other approved carriers without unnecessary delay. You will also assist with inwards goods when required, particularly during busy periods or to provide operational cover.
This role will suit someone who genuinely enjoys logistics, shipping and working with ERP systems. An interest in performance cars is a bonus, but strong logistics capability, accuracy and follow-through are what matter most.
• Book outbound customer shipments with DHL and other approved freight providers.
• Confirm orders are authorised, complete and ready for dispatch before booking freight.
• Prepare and check shipping labels, airway bills, commercial invoices and other required documentation.
• Ensure customer details, delivery addresses, weights, dimensions and service levels are accurate.
• Maintain accurate shipment records in the ERP system and carrier portals.
• Coordinate with the warehouse so orders are packed, labelled and available for collection.
• Track outbound shipments and proactively follow up delays, exceptions or failed deliveries.
• Liaise with DHL, freight providers, customs brokers, customers and internal teams to resolve routine issues.
• Provide missing or corrected documents required for customs clearance or carrier processing.
• Keep the relevant team members informed of shipment status, delays, risks and next steps.
• Assist with freight claims and supporting documentation when requested.
• Assist with receiving, checking and booking in incoming goods when operationally required.
• Identify damaged, short, incorrect or unexpected deliveries and escalate them promptly.
• Support product traceability and accurate logistics records.
• Previous experience in logistics, freight coordination or dispatch is essential.
• Strong customer service experience is essential, with a proven ability to communicate clearly, follow issues through and keep customers informed.
• Previous warehousing experience is essential.
• Experience booking international shipments through DHL or another carrier portal is essential.
• Experience preparing commercial invoices, export documents or customs information is essential.
• High attention to detail, particularly with addresses, documents, weights and system entries.
• Strong organisation and time management, with the ability to manage multiple priorities.
• Confident using computer systems, email, online portals and ERP software.
• Calm, professional and solution-focused when shipments are delayed or information is incomplete.
• Reliable follow-through and willingness to take ownership until issues are resolved or properly escalated.
• Comfortable working across office and warehouse environments.
• A forklift licence would be useful but is not essential.
• A key logistics role within a high-performing New Zealand export manufacturer.
• Training in our products, systems and Dodson-specific shipping processes.
• Broad exposure to freight, customs, customer service and warehouse operations.
• A practical team environment where accuracy, communication and ownership are valued.
This is a full-time, on-site position based in Wairau Valley, Auckland, working 7:00 am to 4:00 pm, Monday to Friday.
